Case study · Beverage industry
Delivery notices that keep warehouse robots running
For a major beverage company, we built SHIP: a system that tracks replacement parts for warehouse robotics and automation, and tells each receiving facility exactly when its parts ship, go out for delivery and arrive.
In production since 2025
Running every day across the company’s warehouse network.
Facilities nationwide
Notices go to receiving facilities all over the country.
Fully automatic
From order to delivered, with no one updating tracking by hand.
Every step on record
Orders, carrier scans and emails are all logged and searchable.
The challenge
The company runs warehouses across the country that depend on robotics and automation. When a machine needs a replacement part, the facility waiting on it needs to know when it shipped, when it’s out for delivery and when it arrived, often while a line is down.
The parts ship through a third-party logistics warehouse on Extensiv 3PL Warehouse Manager, with tracking in ShipStation. But neither system tells each facility what it needs to know on its own. Orders often have no recipient email at all, so without help, someone has to look up each shipment and pass the news along. (The company’s name is withheld.)
What we built
SHIP, a Laravel application that connects the systems already in place and does the follow-up automatically.
- Orders come in on their ownEach shipped order arrives from Extensiv, passed through our warehouse operations platform, with its tracking number, carrier, ship-to address and reference numbers.
- Tracking starts automaticallySHIP registers the tracking number with ShipStation, then receives every carrier scan and status change.
- The right facility is foundThe ship-to address is matched to the receiving facility and its contact, so notices reach the right people even when the order has no email address.
- Notices go out at every stepShipped, out-for-delivery and delivered emails, plus exception updates, go out through Resend with the facility’s own PO and reference numbers.
Built to be trusted
Account managers in the loop
Staff can receive copies of every notice for a customer, or for a single facility, and see exactly what the customer sees.
Clean email delivery
One-click unsubscribe, automatic handling of bounces and complaints, and a weekly bounce report protect deliverability.
An answer for every question
Every webhook, scan and email (delivered, opened, clicked) is logged and searchable by tracking number or address, which settles delivery questions fast.
The results
- Facilities know when parts arrive, at every step from shipped to delivered.
- Notices flow into the company’s own systems, so teams know when their parts are arriving.
- No manual tracking updates: from order to delivered, it runs on its own.
- Notices reach the right people, matched to each facility across the country.
- A complete record of every shipment and every message for support and disputes.
How it’s built
- Laravel application with a Laravel Nova admin dashboard
- Extensiv 3PL Warehouse Manager orders, received directly or through our warehouse operations platform
- ShipStation tracking with real-time status webhooks
- Resend for email delivery, with delivery, open, click and bounce events
- Background queues, so every webhook is accepted instantly and processed reliably
- Role-based access, two-factor sign-in and automated tests
