Managing your email folders
How the built-in folders work, and how to create, move, rename and delete your own, so your mail stays organized on every device.
The built-in folders
Every mailbox has these folders. They can’t be renamed or removed.
| Folder | What it holds |
|---|---|
| Inbox | New incoming mail, unless a filter you set up sends it somewhere else. |
| Sent Items | Copies of messages you send. Outlook, Apple Mail and phones save here when they’re set up to use it. |
| Drafts | Messages you’ve started but not sent. Webmail saves drafts automatically as you write. |
| Junk E-Mail | Messages the spam filter caught. Check it now and then for anything that belongs in your Inbox. |
| Deleted Items | Messages you delete. They can be cleaned out automatically, so don’t keep anything here you’ll need. |
Create a folder
- Sign in to webmail at https://mail.yourdomain.com (use the part of your email address after the @) with your full email address and password.
- Click the menu icon at the bottom of your folder list and choose Create Folder.
- Choose where it goes: pick Root Folder for a top-level folder, or another folder to put it inside.
- Type a name (letters, numbers, spaces, hyphens and underscores) and save.
Tip
Don’t create folders inside your Inbox. Many phones and email programs can’t sync them. Create them at the top level instead, and keep the number of folders reasonable so syncing stays fast.
Move, rename or delete
Move messages
Select one or more messages, right-click and choose Move, then pick the folder. You can also drag them onto a folder.
Rename a folder
Select the folder, open the folder menu and choose Rename Folder. You can also change which folder it sits in.
Delete a folder
Select the folder, open the folder menu and choose Delete Folder. This deletes everything in it.
Seeing your folders on your phone or computer
Your folders appear in Outlook, Apple Mail and on your phone when your account is set up as IMAP, as our setup guides show. With POP, you only see the Inbox. Email server settings →
